Clever Set Up: Admin Guide

This consolidated article is designed to empower school and district administrators with clear, step-by-step instructions for configuring Single Sign-On (SSO) with Clever.

Introduction

By following these guides, you’ll streamline user access, reduce password management overhead, and ensure that students and teachers can launch Varsity Tutors with a single click—right from their familiar dashboards.

Each section covers:

Start with your preferred identity provider below, and enjoy a faster, more secure login experience for your school community.

1. Confirm your SIS (Student Information System) is updated, below are the SIS sync options on Clever:

  • Clever-managed Auto Sync
  • SIS-managed Auto Sync
  • SFTP Sync

You can choose “Others” if you are unsure of what SIS system you are using.

2. Add Varsity Tutors Application

To add an application, navigate to your Clever Dashboard > Applications > Add applications page, and then request your desired application(s). > Choose “Varsity Tutors”

3. Sharing Data

  1. Click on the “Varsity Tutors” app from your Applications Page
  2. Click on Share Data Now

* We will not have access to any data that has not been specifically shared with us via the application sharing permissions on Clever*

Sharing Options

  1. Guided Sharing (share all data)
    • Choose Sharing Method
        • Share specific sections, teachers, students, and/or staff: Clever will only share data that meets the specific criteria you've set.
        • Share everyone in specific schools: Clever will only share any data associated with the schools you've selected (e.g. students, teachers, sections, staff).
        • Share everyone in the district: All district data in Clever will be synced to the application. This includes Clever admins, schools, teachers, students, staff and sections.
        • Use an application’s suggested data sharing template: We send you an invite with recommended sharing set up
    • Choose who needs access
        • Share all (teachers, admins, staffs, students and sections)
        • Selected (teachers, students and sections) – best option for Teacher Assigned/Teacher Led Implementation
        • Preview and Share user data
    • Share with ‘Varsity Tutors’
    • Data Validation
    • Finalize Setup
    • Select Finish
    • Users will be able to use the Varsity Tutors application using Single Sign-On

  2. Standard Sharing (specified filters or sharing rules)
    • Set Sharing
        • Options to Share through Standard Sharing
          1. Use the application’s sharing recommendation
          2. Copy sharing rules from another app
            • If you select this option, all records that are shared with a different application will also be shared with us
            • Please note: copying the sharing only happens once - if you make changes to sharing with the original application, they will not be reflected in the app you're currently setting up (or vice versa)
          3. Share all records in the district
          4. Share all records for specific schools
          5. Customize your sharing (select users to be shared)
    • Data Validation
    • Finalize Setup (confirm sharing filters and rules are correct)
    • Select Finish
    • Users will be able to use the Application using Single Sign-On effective Launch Date

4. Choose how your users will log in to the Varsity Tutors application through Clever:

To set up single sign-on (SSO):

  1. Navigate to your Clever Dashboard > SSO & Portal > SSO settings page.
  2. Choose the identity provider (e.g. Google, Active Directory, LDAP, etc.) that works best for users in your school district.

5. Push the Varsity Tutors application to users Clever Portals

  1. Navigate to Clever Dashboard
  2. Select SSO & Portal
  3. Select Portal settings page
  4. Click to Add Application to Users
